6 Sure-Fire Ways to Improve Your Own Efficiency

Maximizing your efficiency in the workplace is a struggle at every level. If you are in, or aiming for a management position, it's especially important to develop foolproof strategies to keep yourself on track and moving forward.

Lack of efficiency can lead to poor productivity and employee dissatisfaction - not to mention losing customers. Do you ever find yourself daydreaming, wasting time, or just coasting through the day? Here are some of the strategies we use around our office that you might help:

1. Set self-imposed deadlines

Remember when you were a kid and you always left your homework assignments until the last second? It was never your best work because you were rushed and if any problems came up, you have no time to deal with it. Getting office work completed on time is no different. Setting yourself deadlines ahead of the actual due date is an incredible way to manage your time more effectively and allow yourself to be more focused on one task.

2. Turn off notifications

When there is an alert on our phone… there’s no one in the world that wouldn’t be distracted. Turning off your notifications will both keep you on task and proactive, not reactive. The best way for you to manage your notifications is to set a time for you to have a look. For example, every hour have a quick browse and if necessary reply and manage your notifications. Remember, not everything is an emergency, you don’t always need to respond instantly.

3. Give yourself something nice to look at

It may sound a little over the top and unnecessary, but trust us… it works! Making your office feel and look like a nice place to be is a great way to both increase efficiency and productivity. Adding elements such as plants, photos, pictures, candles, flowers etc. will make you feel more joyful in your workplace and increase your productivity at the same time. If you’re going to spend eight hours in the same place, you might as well enjoy the view! We are lucky enough to have an artist-in-residence here at Blueprint so our walls are covered with her amazing work.

4. Take regular breaks

It may seem counterproductive, and against what we’re advocating, but stay with us here. Taking regular breaks is a very common and important way to improve your efficiency in the workplace. Research has shown that taking breaks gets your blood flowing. Take a walk, sometimes that’s all you need to clear your head and get your focus back.

5. Hold standing meetings

If you work in an office, you likely spend much of your day sitting at a desk. Meetings are a great opportunity to mix things up. Over the past few years, we’ve seen an increase in standing desks. Don’t think you can stand all day? How about a standing meeting? Standing during meetings is a great way to increase your productivity. Standing breaks up your routine, gets your blood flowing, and allows for you to remain focused and increase your efficiency!

6. Delegate, delegate, delegate

We work with a lot of entrepreneurs, small businesses, and top-performing managers. Their biggest complaint? They don’t have enough time in the day. You need to post to social media, but you also need to hire a new employee. You really want to get your signage re-designed, but you haven’t had the time to sit down and think up an idea. It’s important that you surround yourself with people who can take on the tasks that promote your business you just don’t have time to complete. Hiring an agency or putting aside some maintenance hours is a great way to make sure that your design work is up-to-date and the website is functioning at peak potential.
